The Alto integration is built for letting agents who live in Alto but want AI-triaged tenant reporting, a contractor marketplace and automated invoicing. PropServ does the work; Alto gets the paper trail.

    PropServ's severity score (or your manual override) maps straight to Alto's Urgent, High, Non-urgent and Low priorities, so urgent jobs look urgent in Alto too.

  • Quotes and invoices land in Alto

    The accepted contractor price is written to the Alto work order, and the works-order PDF and the paid invoice PDF are attached to it automatically.

    Active Alto tenancies and tenants are pulled into PropServ every night. New tenants get an invite to report issues; ended tenancies detach automatically.

How it works

From tenant report to closed Alto work order

Here's the life of one repair once Alto and PropServ are connected.

    Your Alto tenancies arrive in PropServ

    PropServ pulls active tenancies from Alto — on demand when you first connect, then every night. Each Alto property is matched to a PropServ property by Alto ID, then by address; strong matches link automatically and borderline ones go to a review queue so nothing is mis-linked.

  2. 02

    Tenants report the issue any way they like

    Tenants imported from Alto are invited to PropServ and can report by app, web, WhatsApp or a call answered by PropServ VoiceLine. AI asks follow-up questions, scores severity and checks photos for mould.

  3. 03

    A work order appears in Alto

    As soon as the report or works request exists in PropServ, an Alto work order is created for the linked property, carrying the description, the tenant's follow-up answers and a priority derived from the severity score.

    Statuses follow the job

    When you request quotes the Alto work order becomes Quote Requested; instructing a contractor sets Supplier Instructed and writes the agreed price; completion moves it to Complete Awaiting Invoice; a paid invoice moves it to Complete Invoicing Received. Cancel in PropServ and Alto is cancelled too.

    The paperwork files itself

    The works-order PDF is attached to the Alto work order when the contractor is instructed, and the paid Stripe invoice PDF is attached when payment lands. Your Alto record is complete without anyone uploading anything.

  6. 06

    Tenancies that end are tidied up

    When a tenancy is marked vacated or cancelled in Alto, the tenant is detached from the property in PropServ and any pending invite is withdrawn. If they've no other active tenancy, you get a quick keep-or-revoke access review.

Does PropServ create work orders in Alto automatically?

Yes. When a tenant report or works request is created in PropServ for a property linked to Alto, a work order is created in Alto for that property with the description, tenant follow-up answers and a priority based on PropServ's severity score.

Do Alto work order statuses update as the job progresses?

Yes. PropServ updates the Alto work order as you request quotes (Quote Requested), instruct a contractor (Supplier Instructed, with the agreed price), complete the job (Complete Awaiting Invoice), receive payment (Complete Invoicing Received) or cancel it.

Are invoices sent to Alto?

The paid Stripe invoice PDF is attached to the Alto work order automatically once payment lands, alongside the works-order PDF that was attached when the contractor was instructed.

How do my Alto tenancies get into PropServ?

PropServ imports active tenancies from Alto when you connect and then re-syncs every night. Properties are matched by Alto ID and address, tenants are invited or linked, and ended tenancies are detached automatically.

Is the Alto integration two-way?

Tenancies, tenants and property documents come from Alto into PropServ; work orders, statuses, quotes and PDFs go from PropServ into Alto. Changes made to a work order inside Alto aren't read back — PropServ is where you manage the job.

Do I need API keys or a developer to set it up?

No. You enable PropServ from Alto and the PropServ team completes the connection. There are no credentials to paste and no plan add-on to buy for the integration itself.

Does it sync landlords or photos?

Not currently. Landlord records and property photos are outside the Alto sync; documents held against a property in Alto can be viewed live inside PropServ.
