The connection, in practice
Run the repair in PropServ, keep SME Professional up to date
For agencies on SME Professional who want AI-triaged tenant reporting, a contractor marketplace and automated invoicing without a second set of records to maintain.
Reviewed property & tenant import
Browse your SME book inside PropServ, choose the branches, management types and tenancy statuses you want, review exactly what will be created, then import. Tenants are linked or invited.
Maintenance reports raised in SME
Every tenant report on a linked property creates an SME maintenance report with the category, title, the tenant's description and a priority set from PropServ's AI severity score.
Status that follows the job
As quotes are requested and received, the owner approves, a contractor is instructed and the work is completed, the SME report moves through the matching statuses — with the estimated and final cost and the invoice reference.
Reports logged in SME come across
Maintenance reports your team logs in SME against a linked property are picked up hourly and become tenant reports in PropServ, so every repair is run from one queue.
Paperwork filed against the property
Optionally file the works-order, tenant report and paid invoice PDFs against the property in SME, and post a landlord ledger deduction when the invoice is paid.
Sync status you can see
Each report and work request shows its SME sync state. Pushes are queued and retried automatically, and a failed one can be retried from the SME Professional hub.
One job, from start to finish
From SME property to closed maintenance report
The life of one repair once SME Professional and PropServ are connected.
- 01
Connect with an API key
Ask SME Professional support for an API key for your company and paste it into PropServ under Settings → Integrations. The connection test shows which parts of the API your key can reach, with a list you can copy straight to SME support.
- 02
Import your properties and tenants
The import wizard lists your SME properties. Pick what to bring over, review the plan, and PropServ creates or links each property and links or invites its tenants. Anything that only looks like an existing property waits for your review.
- 03
Tenants report, AI triages
Tenants report by app, web, WhatsApp or a call answered by PropServ VoiceLine. AI gathers follow-up answers, scores severity and checks photos for mould.
- 04
A maintenance report appears in SME
Each new report on a linked property creates an SME maintenance report with the PropServ job reference, category, description and priority.
- 05
SME follows the job through to invoice
Quotes, owner approval, contractor instruction and completion each move the SME report to the matching status. When the invoice is paid the report is closed, with the final cost and invoice reference recorded.
- 06
Stay in sync
A scheduled sync picks up new and changed properties and tenants, and reports logged in SME are checked every hour. Turn on automatic import for new properties, or keep them in the review queue.

The useful details
A few things you
might be wondering.
How do I connect SME Professional to PropServ?
Ask SME Professional support for an API key for your company, then paste it into PropServ under Settings → Integrations and run the connection test. If SME still needs to switch anything on for your key, the test lists it and you can copy the list straight to their support desk.
Does PropServ create maintenance reports in SME Professional?
Yes. Every tenant report raised on a linked property creates an SME maintenance report with the category, description, the PropServ job reference and a priority based on the severity score.
Are SME maintenance reports updated as the job progresses?
Yes. The SME report moves through the matching statuses as quotes are requested and received, the owner approves, a contractor is instructed and the work is completed, then it's closed when the invoice is paid — with the estimated and final cost and the invoice reference recorded.
What about repairs our team logs in SME?
New maintenance reports logged in SME against a linked property are picked up every hour and become tenant reports in PropServ, so you can run them from the same queue. Reports your team is already progressing in SME are left alone.
How are SME properties matched to PropServ properties?
Properties already linked to SME are recognised automatically. Anything that only matches by address goes to a review queue where you link it, create a new property or skip it.
Do my tenants need to do anything?
Tenants imported from SME who don't yet have a PropServ account are emailed an invite. Once they accept they can report issues by app, web, WhatsApp or PropServ VoiceLine.
Does it sync contractors, landlords or photos?
Not currently. Contractors aren't linked to SME contractor records, and landlord records and tenant photos/videos aren't synced. Properties, tenants, maintenance reports and their status, costs and PDFs are — plus optional landlord ledger deductions.
